Assigning a status for Initiative Characteristic comments

Comments can be assigned a status from one of four categories:

1. Actual

2. Planned

3. Suggestion / Idea

4. More Information

To assign a status to a comment, you will:
1. Select the Initiative you wish to add a new or update a comment for, either via the Initiatives icon on the left-hand side navigation bar or via a Transition Card
2. Click on the Initiative comment icon found along side the Initiative Characteristic you are adding or updating.
3. Select which of the four comment status types best fit your comment. These are:

Actual
An 'Actual' status should be selected when the Initiative Characteristic is currently occurring in the Initiative. Selecting this status will save the Initiative Characteristic as blue and automatically tick the Initiative Characteristic tick box when saved.

Planned

A 'Planned' status should be selected when the Initiative Characteristic is not currently occurring in the Initiative but is planned to happen. Selecting the 'Planned' status will save the Initiative Characteristic as teal and automatically tick the Initiative Characteristic tick box when saved.

Suggestion / Idea

A 'Suggestion/Idea' status should be selected when the Initiative Characteristic is not currently occurring in the Initiative, but you would like to record suggestions or ideas on how this might be achieved. Selecting this status will save the Initiative Characteristic as yellow and automatically untick the Initiative Characteristic tick box when saved.

More Information
A ‘More Information' status should be selected when the Initiative Characteristic requires more information in order to record it accurately. Selecting this status will save the Initiative Characteristic as purple and automatically untick the Initiative Characteristic tick box when saved.

2. Comment status and Activity Reports

Each of the four comment status types will are recorded in the Activity Report differently, as highlighted here:

Actual
'Save New Comments' with 'Actual' as the status will be recorded as activity in the Activity Report. All first comments will be tallied in the 'Additions' column, and all subsequent saved comments will be tallied in the 'New Comments Saved assigned Actual' column in the Activity Report.

Planned
Saving a comment with a 'Planned' status will not record activity in the Activity Report. 'Updating Existing' comments with 'Planned' status will also not record activity in the Activity Report, however comments changed from 'Planned' to 'Actual' will be recorded as 'Additions' in the Activity Report.

Suggestion /Idea
Saving a comment with a 'Suggestion / Idea' status will not record activity in the Activity Report. 'Updating Existing' comments with 'Suggestion / Idea' status will also not record activity in the Activity Report, however comments changed from 'Suggestion / Idea' to 'Actual' will be recorded as 'Additions' in the Activity Report.

More Information
Saving a comment with a 'More information' status will not record activity in the Activity Report. 'Updating Existing' comments with 'More Information' status will also not record activity in the Activity Report, however comments changed from 'More Information' to 'Actual' will be recorded as 'Additions' in the Activity Report.

3. Filtering Transition Card tiles by comment status

Assigning a status to a comment will affect how an Initiative Characteristic tile is presented on a Transition Card. They are presented as:

Actual = 100% colour of Focus Area
Planned = 50% colour of Focus Area
No comment = lined tile of Focus Area
Gap in effort = transparent or(or Grey when Gap in Effort selected)

Filtering by comment status
Users are able to filter a Transition Card by one or more comment status types, enabling them to visualise those Initiative Characteristics that are Actual, Planned, have No Comment saved or are not currently being addressed by initiatives (Gap in Effort).
To filter a Transition Card by comment status, you will:
1. Locate the comment status drop down menu on the top right-hand side of the Transition Card (above Focus Areas 3 and 4).
